This policy explains how Cloud Rhino (“we”) handles personal information collected through this website, including the Live AI Lab demos. We aim to comply with the Australian Privacy Principles (Privacy Act 1988 (Cth)) and the New Zealand Privacy Act 2020.

What we collect

  • Enquiries: if you submit the contact form, we collect your name, work email, organisation, optional role, the workflow you're interested in, your description of the problem, meeting preference and your consent choices. Contact details are encrypted at rest.
  • Demo use: you can use the demos without giving contact details. We keep a PII-redacted summary of your questions and the answers for the life of the demo session so follow-up questions work, then delete them (within 24 hours of the session expiring).
  • Security and usage records: to prevent abuse and control costs we record request IDs, a daily-rotating keyed hash of your network address (not the address itself), counts, model token usage and cost. These are not linked to your enquiry.
  • Campaign links: if you arrive via a link we sent, we record which campaign the link belongs to. Links never contain your name or email.

How demo questions are processed

To answer demo questions we send the redacted question and relevant synthetic data through our private model-routing service to a third-party AI model provider chosen by that service (for example DeepSeek or models accessed through OpenRouter). These providers may process the data outside Australia and New Zealand, including in the United States and China. Only public, synthetic demo content is sent. See the AI demo notice. Anonymous demo questions are never sent to our sales team or attached to your enquiry.

Why we use it

  • To respond to your enquiry and, if you ask, arrange a meeting.
  • To run, secure and improve the demos (aggregate statistics only).
  • To send occasional updates — only if you tick the separate marketing box. You can unsubscribe at any time.

Who we share it with

Service providers who host or operate the service for us: the hosting provider of the server that runs this website and its database, the AI model providers selected by our routing service (demo questions only), our transactional email provider (enquiry notifications) and Cloudflare (bot protection, if enabled). We do not sell personal information and do not use third-party advertising or analytics trackers.

Cookies

We use strictly necessary, HttpOnly cookies: a demo session cookie (expires with the session) and first-touch attribution cookies (which campaign or UTM tags brought you here, up to 30 days). They contain no personal information.

How long we keep it

  • Demo session summaries: deleted within 24 hours after the session expires.
  • Enquiries: up to 2 years from submission unless you ask us to delete them sooner.
  • Draft pilot outlines not linked to an enquiry: 180 days.
  • Aggregate usage statistics (no contact details or questions): up to 400 days.

Your choices and rights

You can ask to access, correct or delete your enquiry details at any time by emailing info@cloudrhino.com.au or using the contact form. If you are not satisfied with our response you can complain to the Office of the Australian Information Commissioner (OAIC) or, in New Zealand, the Office of the Privacy Commissioner.

Children

Our demos are designed so that no information about children is needed or collected. Please do not enter it.
